SENIOR WEALTH MANAGEMENT ADMINISTRATOR / PRACTICE MANAGER – Lombard Street, London (EC3V 9BQ)

Role overview

We are recruiting for a full time Wealth Senior Wealth Management Administrator / Practice Manager to support a small team within a successful practice of St. James’s Place Wealth Management, based in the Lombard Street offices.

The role will be an integral part of the team, supporting the Partners (Financial Advisers) at an operational level with a mix of client servicing, business processing and general administration.

It would be particularly suited to an individual seeking a long-term senior administrative / Practice Manager career. The successful candidate will ideally have previous experience of working either in a support role for financial adviser as an administrator or practice manager within an IFA or an SJP practice. Previous experience of Salesforce / FE Analytics is highly advantageous.

The role is full time and based in the Lombard Street central office initially, with the option of hybrid working after fully trained in the role (work from home one / two days a week in the future).

Role content

PA / Administration / Team communication

  • Managing the Senior Partner’s diary and book in client meetings
  • Providing general PA support
  • General Administration supporting a small team
  • Management of client ID procedure for investments, protection and pensions
  • Liaising with 3rd party providers to obtain relevant client information
  • Issuing investment letters of authority to providers, and chasing up where required
  • Managing workflow of current client cases
  • Ensuring all work is compliant within the practice
  • Managing the CPD / training requirements for the Partners

Client Servicing

  • Meeting Pack preparation in advance of client meetings
  • Acting as a point of contact for all client queries as required
  • Dealing with incoming emails
  • Keeping all client details up to date from each meeting internally
  • Checking and issuing policy documentation
  • Ensuring the client records are up to date and compliant in accordance with the latest guidelines
  • Issuing wealth accounts or valuations to clients
  • Issuing signed documentation to Clients

Business Processing

  • Experience of Salesforce & FE Analytics highly desirable
  • Uploading client declarations onto iBusiness
  • Processing switches and surrenders and associated administration
  • Electronic Business Submission processing and setting up of Advice sets, uploading documents.
  • Ensuring Client records are fully compliant prior to submission
  • Experience of administration including ISA allowances, carry forward calculations
  • Basic level paraplanner duties

Person specification

  • Preferably previous experience of working in a similar Administrative role, with knowledge of financial services
  • Seeking a long-term career in wealth management administration, working themselves up to Practice Manager level
  • Willingness to take on responsibility and self-motivated.
  • High level of computer literacy i.e. Word, Outlook, Excel
  • Naturally technical and numerate, and able to pick up new technical programmes and processes with ease
  • Able to use own initiative, and work in a fast-paced environment
  • Ability to effectively prioritise, with excellent organisational skills
  • Enjoys working in an Administrative capacity in an Administrative / Practice Manager role.
  • Experience of dealing with High-Net-Worth clients
  • Good team player
  • High level of accuracy and attention to detail
  • Trustworthy and loyal, seeking longevity in role
  • Excellent telephone manner and well presented
  • Comfortable making outbound client calls to existing and prospect clients
  • Enthusiastic and willing to learn

Additional Information

  • Salary: £30-40K per annum pro-rata, dependant on skills and experience.
  • Role type: Employed role
  • Location: Lombard Street SJP office (EC3V 9BQ) 3 days a week minimum (although this will be required full time during the initial training period)
  • Hours of work: 9.00am – 5.30pm Monday to Friday
  • Paid Holiday: 25 days per annum, plus bank holidays.
  • Training: Full training shall be provided
