Office Operations Administrator
My client is a multinational consultancy specialising in consultancy and project management services to the construction industry. They are a Sunday Times top 100 employer. This is a key role in delivering internal and external customer service excellence for the Manchester office, and ensuring the company ethos and culture is maintained. The role is an integral part of the Manchester office in ensuring the office runs smoothly by providing a first-class service.

Key Requirements:
- Previous Office Admin and Front of House experience.
- Experience leading a small team or strong leadership skills.
- Excellent service skills.
- High level of IT competency, MS PowerPoint, Excel, Outlook, and Word.
- Pro-active, diligent, flexible, reliable, and enthusiastic with a good attitude.
- Excellent multi-tasking skills.
- Must always maintain a high level of discretion and confidentiality.
- A high standard of personal presentation.
This is a very varied role with responsibilities in the following areas:
Front of House
- Greet and sign in all visitors to the Manchester office.
- Answer telephone calls, screen and transfer to the right individuals within the business.
- Maintain an impeccable reception and client area, removing any deliveries out of sight.
- Ensure all visitors and staff sign in and out.
- Manage meeting room bookings and in-house refreshments; proactively deal with potential conflicts and offer practical solutions, keeping all stakeholders involved.
- Maintain all meeting room equipment, regularly testing and checking for issues.
- Monitor and supply consumables and refreshments for all meeting rooms, allow for clearing between meetings.
Facilities Management & Health & Safety
- Office Facilities Management; daily point of contact; liaison with Landlord and upkeep of operating and maintenance manuals.
- Maintain efficient running / operation of office facilities including front and back of house (all lighting and electrical, print room, photocopiers, fire extinguishers, plants, kitchen, storage, post and stationery room, signage & noticeboards).
- Arrange all office contractors as necessary, eg, Air-conditioning, odd job man, flick tests, pest control etc.
- Ensure notices are displayed and available to all visitors regarding fire alarm tests, evacuation procedures and when away from reception.
- Ensure all employees and guests read and understand evacuation procedures. Work with HR with updating all policies and procedures.
Administration Support
- Assist in supervising the project administration team through creating monthly rota and weekly resource meetings and escalating any concerns to Office Operations Manager.
- Book travel, hotels and car hire where necessary through travel management company complying with financial levels of authority across offices.
- Complete purchase order process in D365, including obtaining authorisation from partners/associates for payment.
- Maintain small stock of PPE; supply all new starters with all relevant PPE and maintain PPE register.
- Sort incoming mail and distribute as required, prepare outgoing mail in line with collection times.
Events
- Assist with office events, ensuring all requirements are understood, planned and managed to aid successful outcomes.
- Assist The Training Room co-ordinator (a well-being room designed for external businesses to cover services for employees).
- Assist in the management of the in-house events booking system for The Training Room.
Hours of work: 8.30am – 5pm
