What are we looking for?

We are looking for a bright, proactive and confident administrator to join our busy Learning and Development team. Ideally you will be a graduate with at least one year of administration experience within an HR or L&D function, within a professional services organisation. You will be PC literate and comfortable with Microsoft office applications. Experience of using a Learning Management System would be an advantage too.

Working alongside the L&D Advisor, the purpose of this role is to assist the L&D Manager with all aspects of implementing and maintaining the L&D programme for various audiences within the firm.

This is a great opportunity for an enthusiastic individual to gain varied, hands-on experience in a supportive and professional team. Excellent attention to detail and organisational skills are essential, together with first class written and verbal communication skills.

Areas of focus and responsibilities

  • Coordinate the Trainee Induction (London and Hong Kong); Liaise with the graduate recruitment team to co-ordinate. Arrange for external PSC trainers to be booked in along with the team building activity (chocolate making). Send calendar invites to all internal speakers and the trainees. -Be a point of contact for the trainees. Arrange the Trainee dinner.
  • Coordinate the NQ Induction; Plan the NQ induction schedule and sessions. Send calendar invites to speakers, invite NQs. Arrange the NQ dinner.
  • Coordinate Associate Development Centre (ADC); Working with the L&D Manager to coordinate the schedule for the ADC, organising the venue, inviting participants, arranging flights and accommodation (if done face to face), sending calendar invitations, arranging pre-meetings and setting up MBTIs and learning sets. Liaising with internal and external facilitators and actors. Administering the ADC on the days – attending live sessions and managing Zoom links and break out rooms.
  • Assisting with the coordination of the Future Leaders Programme (FLP); Supporting the L&D Advisor to organise 360 feedback, the development centre and assessment centre and administer at development centre and assessment centre. Coordinate the schedule for the programmes, organise the venue, invite participants, arrange flights and accommodation, send calendar invitations, arrange pre-meetings and set up MBTIs, Hogan assessments, coaching sessions and learning sets. Liaise with internal and external facilitators and actors.
  • Coordinate the Leadership Essentials programme; Working with the L&D Manager to coordinate the schedule for the residential programme and workshops, organising the venue, inviting participants, arranging flights and accommodation, sending calendar invitations, arranging pre-meetings and setting up MBTIs, HDS and learning sets. Liaising with internal and external providers.
  • Coordinate professional skills courses; Working with the US L&D Administrator to plan the schedule.
    For EU/APAC training sessions – arranging pre-work, marking attendance and sending evaluation forms, distributing materials, meeting trainers (virtually) and being point of contact.
  • Budget – Process invoices related to the FLP, ADC and leadership essentials. Record spend on the budget spreadsheet.
  • Coordinate language lessons; Liaise with language lesson agency to onboard new students. Process invoices.
  • Intranet Pages (split with US L&D admin); Updating our intranet (Within) pages regularly with training information and links to register for courses. Contacting relevant individuals in HR to see whether their pages are needing to be reviewed.
  • Professional qualifications; Organise professional qualifications – update the tracker, keep track of claw back forms, save down requests for new qualifications, process invoices.
