Executive Assistant – UHNW Family Office (Hybrid)
This is a Business and Private support PA role for a degree standard EA who has held a similar role in the past for an UHNW (Essential). London based but may require some travel occasionally.
The Principal is a great communicator and liked by the team so we are looking for someone to commit for the long term and provide top 1:1 support.
You will be high calibre, well-rounded and an experienced Personal Assistant (PA) who is proactive and able to assist in the running of the Principal’s day-to-day life to ensure smooth-running family life, as well as solid business support. Based within a small, stable private Family Office in the West End, you will be working on a wide variety of tasks and projects and be capable of wearing many different hats. Liaising with both internal team members and external parties and possess a high level of positivity and professionalism.
Responsible for all aspects of delivery, you will get things done with excellence, efficiency and resourcefulness; remaining calm and taking the unexpected in your stride. You must have proven experience making decisions and exercising good judgment in a variety of situations. Possessing strong written and verbal communication, administrative and organisational skills. This position requires a proven ability to anticipate needs, think critically, and offer solutions to problems with a high degree of professionalism and confidentiality. The role is all-encompassing to include:-
Travel support; planning trips and making all necessary arrangements, this is a demanding and focused part of the role as the Principal travels extensively. You will oversee and manage all aspects of travel from A-B including any changes or additions on the way. Managing multiple diaries and coordination of associated logistics. – Research, orders, deliveries, purchases and errands. – Oversee documentation for the family, including passport and visa renewals, health insurance claims, and managing memberships and loyalty programs. – Coordinate with household staff to ensure smooth day-to-day operations, potentially taking on line-management duties as helpful and support recruitment needs. – Support the management team on specific pieces of work. – Take ownership for designated projects, conducting research, providing logical recommendations and analysis of findings.
Liaise with other staff to get things done and facilitate outcomes. – Ensure high standards of accurate record keeping and filing. – Manage active action lists to keep tasks moving forward (yours and others). – Draft email or other correspondence on behalf of the Principal. – Process invoices and credit card reconciliations. Key attributes – Degree standard (Essential)- Proven experience as an Executive Assistant / Personal Assistant in a similar role with proven longevity in prior positions. – Happy to operate independently as well as work closely with others. – Typically working between 8.30am and 6pm Monday to Friday, but flexible with a 24/7mindset and happy to respond when needed.
Proactive and adaptable and a willingness to "muck in" is essential. Able to switch from business to personal support with ease and always maintaining confidentiality at all times. You will have a positive and friendly personality, calm and assured. Happy to cover both the small and large tasks given you will oversee matters with a keen eye for detail and offer considered opinions when needed.
Excellent tech required and a top communicator will be needed. Results driven with excellent interpersonal skills you will also have tact and diplomacy when called upon to do so.
