A superb opportunity to join a thriving charitable organisation in the role of Executive Assistant to the CEO.  Reporting to the CEO, your role will be pivotable in the development and maintenance of a truly invaluable organisation

37.5 hours per week – Monday to Friday 09.00 to 17.00 with occasional evenings and weekends

JOB SUMMARY

The role provides high quality professional executive assistance to the CEO, which includes some governance support for the charity and its Board of Trustees.

The postholder will place a high value on personal integrity, will bring excellent communication and interpersonal skills and will manage key stakeholder relationships.

KEY RESPONSIBILITIES

• Coordinate and maintain the diary of the CEO including organising meetings, appointments, travel arrangements

• Support and work closely with the CEO to maximise their productivity and effectiveness through scheduling and management of activities

• Build a network of effective and positive relationships with a variety of stakeholders at all levels

• Effectively manage senior internal and external stakeholders on behalf of the CEO to ensure positive engagement

• Identify, anticipate and prepare information requirements for meetings, appointments, presentations and follow up inward and outward requests for information, reports and correspondence

• Undertake the preparation of all documents, correspondence and presentations in a timely and professional manner, including proof reading and editing where appropriate

• Interact positively with all levels of staff, volunteers, supporters and visitors

• Organisation and management of external visits and meetings

• Maintain electronic document filing system for CEO-specific or sensitive areas of work

• Manage or support any projects as requested by the CEO

• Support the CEO to undertake governance administration for Board meetings and committees, including collating agendas and papers, circulating information in a timely fashion, and preparing and distributing accurate Board minutes

• Arrange Board and committee meetings including liaison over dates, booking and setting up meeting venues

• Undertake timely filing of Charity Commission and Companies House returns

• Maintain an up to date Register of Members, Interests and document conflicts and their resolution

• Maintain a register of gifts and hospitality for staff and trustees

• Support the Board in its compliance with the Charity Governance Code, establishing and monitoring action plans

• Ensure rolling Board agenda is updated to support any action points

• Maintain awareness of changes to charity and corporate governance and prepare briefing papers for the CEO and senior management

• Coordinate inductions and governance-related training for trustees

• Maintain SharePoint libraries and sites

PERSON SPECIFICATION

Essential

• Ability to be tactful and diplomatic and maintain confidentiality

• Proven experience in a high level executive support role at CEO level

• Confident communicator with a good telephone manner and highly developed written communication skills

• Exceptional interpersonal skills and experience dealing with a wide variety of stakeholders

• Collaborative and good at developing strong relationships

• Ability to be both pre-emptive and reactive

• Accuracy and attention to detail on all work undertaken

• Experience of prioritising conflicting workloads and working within the confines of tight deadlines

• Self-motivated and able to work effectively under own initiative to solve practical problems

• An innovative, can-do, enthusiastic and assertive work ethic

• Experience of accurate minute taking

• Proficiency in using Office-365 and MS Office software packages

• A flexible approach to work and, when required, willing to work and attend occasional events outside normal working hours

• Willingness to develop new skills and take on new areas of responsibility
