Murray Myers are very pleased to be assisting an engineering client with their recruitment of a Document Control Administrator reporting into the Document Control Lead
Role Purpose
The Document Control Administrator is responsible for managing document control activities on designated contracts, collaborating with the Document Control Supervisor, Project Managers, and Portfolio Managers. This role involves efficiently handling documentation through Vault, rotating between live contracts, expediting documentation, and supporting general administrative tasks as directed by the Document Control Lead. Effective communication with internal and external stakeholders is essential for timely completion of documentation.
Key Activities / Decision Areas
1. The Document Control Lead oversees day-to-day activities and responsibilities of the Document Control Team, ensuring adequate capacity to effectively support contracts.
2. Engage in the robust management and control of documentation through Vault. This includes handling and processing documents between the business and its Clients, Subcontractors, and Stakeholders.
3. Communicate with various parties to expedite documentation on behalf of the business.
4. Ensure and enforce the creation, maintenance, and approval of all project documents in the businesses Vault DMS software. Support Project Managers and Portfolio Managers in fulfilling contract obligations related to project document control activities.
5. Perform basic checking and validation of documentation status, focusing on format and metadata rather than content.
6. Source, sort, and file project and procurement documentation as well as engineering drawings.
7. Chase progress on documentation, track, and record progress through production/review stages.
8. Maintain an auditable trail/version control for documentation handled, scanned, and filed in Vault, particularly externally sourced hardcopy documentation.
9. Scan documentation and legacy documents.
10. Assemble information/documentation packs to support document reviews and meetings.
11. Utilize and interact with Clients’/Subcontractors’ DMS software where suitable training is provided.
12. Undertake other reasonable tasks as directed by the Document Control Lead.
Essential role related knowledge, technical skills, qualifications and experience
1. Demonstrates a high level of self-management and motivation, excelling in working autonomously with minimal supervision and utilizing personal initiative to devise effective problem-solving solutions—a critical prerequisite for the position.
2. Possesses essential prior experience in an administrative role, emphasizing a track record of successfully navigating office responsibilities.
3. Exhibits a meticulous approach, maintaining a high attention to detail and consistently delivering work with a precision rate exceeding 95%.
4. Showcases robust problem-solving skills, with a proven ability to address challenges effectively.
5. While a background in Quality is advantageous, it is not obligatory.
6. Preference may be given to candidates with experience in the manufacturing or engineering sector, although it is not mandatory.
7. Proven track record as an exceptional team player with quantifiable experience collaborating with colleagues and customers of diverse levels, fostering effective relationships to achieve key objectives.
