The Database Operations Manager has primary responsibility for providing strategic oversight and operational management of the University’s alumni and supporter database, to support fundraising & alumni engagement goals. The post holder will ensure the integrity and optimal use of the database, while also supporting data analysis, reporting, and the development of processes that enhance donor and alumni relations activity.

Description
- Oversee the daily operation of the database, ensuring accuracy, efficiency, and compliance with data policies.
- Ensure the integrity and security of data, including regular audits, clean-up, and adherence to data protection regulations.
- Work closely with the team, and other relevant departments to understand and fulfil their data requirements. Develop and implement solution focused database strategies to support the broader goals of the Philanthropy and Alumni Relations team.
- Facilitate the integration of the system with other software and systems used across the University, enhancing data flow and utility across platforms. Champion collaborative working with key teams across the University to manage appropriate user access to the alumni and supporter database.
- Design, generate, and maintain reports, dashboards, and data analytics to inform decision-making. track performance metrics and philanthropic project spend. Communicate insights and data-driven recommendations to stakeholders and executive leadership to support strategic objectives.
- Manage and deliver gift administration and processing including gift entry onto the system, gift reconciliation, ongoing gift balance updates (in collaboration with Finance) and Gift Aid claims.
- Implement data enrichment services and tools to maintain a robust and comprehensive database that supports fundraising and engagement activities.
- Develop and enforce quality control measures to ensure high-quality data entry and maintenance.
- Control and monitor user access to the database, ensuring appropriate levels of access are maintained, necessary training is completed and data security is not compromised.
- Manage the implementation of new database functionalities, system upgrades, and process changes, minimizing disruption to operations.
Profile
Demonstrable experience of managing a CRM system
Proven track record of overseeing database operations
Ability to design, generate, and maintain reports and dashboards, with strong analytical skills
Strong IT skills, with a good understanding of database architecture
Experience of managing budgets
Ability to use and analyse internal and external resources, including data, to validate an idea and /or provide evidence for a case for support
Excellent communication skills
Understanding of data protection laws (such as GDPR and PECR) and their application to data management, fundraising and engagement
Knowledge of fundraising regulations and their application to gift processing
Prior experience working within the higher education sector, particularly within alumni relations and philanthropy.
Experience with project management, including the implementation of new systems or processes.
Experience developing and delivering training programs for database users.
Ability to contribute to strategic planning and policy development within a complex organizational structure.
Interest in and ability to identify and implement emerging technologies and innovations in database management.
Understanding of international giving and tax-efficient donation processing.
Experience with sector benchmarking activities, such as CASE Insights on Philanthropy.
