Job Overview:
(Note: In addition to these functions employees are required to carry out such duties as may reasonably be required) To maintain, classify and organise medical records, in line with GDPR and record keeping rules. This role is essential in ensuring records are fully scanned and digitised, kept safely within the organisation both digitally and in paper form for the required time duration and standard.
Location:
The British Home, but you may be required to work from other locations at the discretion of the company and with appropriate notice.
Medical Administrator – Working Hours:
5 days over 7-day period, with varying shift patterns as agreed with the manager.
Responsibilities and Duties of the Job
Medical Administrator – Role Specific Duties:
- Classify, code and organise medical records.
- Collect, code, cross-reference and store health records and related information.
- Operate information systems to maintain indexes for classification systems and to manage and retrieve health records information.
- Scan and record paper notes and records into well organised digital clinical patient files for posterity, in line with GDPR and record keeping rules.
- Prepare medical, social and administrative information for record posterity, future management and legal requirements as needed.
- Use and maintain software or information technology systems regarding record keeping.
- Implement and update records classification, retention, and disposal scheduling plans.
- Classify, code, cross-reference, log and previously stored records ensuring equitable access.
- Develop document inventories and maintain indexes for classification systems.
- Label, prepare and transfer information files according to established records management life-cycle procedures and schedules ensuring future role holders understand disposal in line with GDPR framework.
- Maintain access lists for security classified records.

Medical Administrator – Specific Requirement
Good English – Written and verbal
- GCSE English and Maths – Grade 5 or above
- Clinical Coding
- Experience with the general public
- Understands the responsibilities of handling highly confidential information.
- Desired experience in a school, police, health or other civil service setting
- Ability to use Excel and other software
- Understanding of GDPR and confidential data management
