A Tower Hamlets Primary School with good transport connections, is recruiting for a Part Time Operational & Front of House Assistant to provide support for administration, financial, and organizational processes within the school to serve as the primary point of contact, acting as an ambassador for the school and embodying its values, vision, and ethos in all interactions.

Reporting to: School Business Manager & Office Manager

Working Hours: 07:00 -12.30pm/ Monday -Friday /Term Time Only/ Temporary

Hourly Rate: £15.00 -£17.00 depending upon experience.

The Functions of this role are:.

Calendar Maintenance:

  • Regularly update and manage the school calendar.

IT System Oversight:

  • Monitor and promptly report any issues related to the school’s IT systems.

Administrative Support:

  • Provide necessary administrative assistance to staff as required.

Office Operations:

  • Handle filing, printing, and photocopying tasks.
  • Maintain the printer and photocopier to ensure they are always operational.

Event Coordination:

  • Assist in organizing parents’ evenings, meetings, and other events.
  • Coordinate room arrangements and equipment needs.
  • Provide refreshments as necessary.

Record Keeping and Confidentiality:

  • Maintain records in accordance with the school’s retention schedule and data protection laws.
  • Always ensure information security and confidentiality.

Staff Attendance Administration:

  • Handle staff attendance-related tasks.
  • Take staff absence calls starting from 7 am and relay information to the Senior Leadership Team (SLT).

HR Support:

  • Assist with HR tasks and administration to support the HR manager.

Access Control:

  • Manage access to the school premises in accordance with safeguarding procedures.
  • This includes signing in visitors, verifying their identification, issuing passes, and informing them about safety protocols.

Vigilance:

  • Remain alert for unfamiliar individuals on school grounds and promptly report any concerns following established procedures.

Written Communication:

  • Craft and send professional email responses that align with the school’s vision and values.

Communication Distribution:

  • Update and disseminate both online and offline communications (such as letters, newsletters, and social media posts) to parents, staff, and other stakeholders.

Financial Administration:

  • Collect, record, and issue receipts for payments from parents, adhering to school procedures.

Policy Adherence:

  • Familiarize yourself with relevant school policies and consistently follow them.

Training and Safety:

  • Undertake necessary training to enhance your role and ensure all responsibilities align with the school’s health and safety policy.

Child Protection:

  • Contribute to the safety of children and young people, safeguarding them from harm.

Additional Duties:

  • Execute any professional tasks delegated by the Headteacher. Uphold the school’s principles and policies to maintain high standards.

Health and Safety:

  • Participate in Basic First Aid training and stay updated.
  • Recognize personal responsibility for health, safety, and welfare, considering others affected by your actions.
  • Collaborate with the employer on health, safety, and welfare matters.
